What is a Schedule of Dilapidations?
A schedule of dilapidations is a report, which is normally issued on to a tenant by a landlord either during, at the end of, or after expiry of a lease. The reason for completing a schedule of dilapidations is to obtain a report that summarises the lease obligations that have been breached at lease expiry by the tenant. The schedule of dilapidations will often include budget costs for rectifying the lease breaches.
The schedule of dilapidations is a precise account of the breaches and suitable remediation works. Often the differing parties will interpret lease obligations slightly differently and their perception of what should be incorporated into a schedule of dilapidations may differ. The schedule of dilapidations is often the first point in the dilapidations process and will normally lead to some level of negotiation and then the undertaking of works and/or a financial settlement.

What is a Schedule of Condition?
A schedule of condition is a report that documents the condition of a building at a specific point in time. Dependent upon the specific instruction requirement, a schedule of condition may only focus on a individual building element, or part of a building such as a roof, or a room. Normally, a schedule of condition will cover the whole building, including the internal and external fabric of a building and sometimes the mechanical and electrical installations.
The rationale for completing a schedule of condition can differ, although a schedule of condition is often completed to factually record the condition of a building before construction works commence, or prior to commencement of a lease. A schedule of condition provides a factual account of a buildings condition that can be reviewed after works are complete or a lease expires.

What is PPM Schedule?
A PPM Schedule which is also known as a Planned Preventative Maintenance Schedule is a report that is produced in order to provide recommendations to a client on the current and anticipated maintenance requirements to a property or asset. The main purpose of a PPM Schedule is to summarise the maintenance requirements of an asset over a certain period, which is typically 10 years, although can be extended to 20 years.
The PPM Schedule will be produced in a way that prioritises high risk/critical items in the first years, with less essential and cyclical works planned for the subsequent years. A PPM Schedule will assist facility and property managers with planning works, will enable an accurate assessment and calculation of service charge amounts and ensure that all statutory compliance issues are allowed for.

What is Technical Due Diligence?
A Technical Due Diligence Survey also known as a commercial building survey offers a holistic view of a property’s condition, which will also take into consideration and provide advice on legal and regulatory matters, environmental items and may also include a reinstatement cost assessment. A technical due diligence report is often undertaken as part of the acquisition or pre-occupation process. What is a Defects Report?
A Defects Report is undertaken to examine a specific issue or defect with a building. The defects report will look to assess the cause of this defect which could be cracking or movement within a structure, the cause of water ingress, timber decay, condensation, penetrating damp and or various other building defects.
A commercial building surveyor will take a methodical approach to defects report in order to understand the cause and possible remedial options which could be undertaken in order to resolve the specific defect. The defects report is often used as a live document and will be updated as investigations progress and further testing is undertaken.

What is a Party Wall Award?
A Party Wall Award is produced when construction works are proposed to be undertaken to a party wall/structure or when a new boundary wall is proposed to be constructed. The Party Wall etc. Act 1996 sets out the guidance and process that should be followed when agreeing a Party Wall Award. A Party Wall Award is typically drafted between just two neighbouring parties, however for more complex and larger schemes numerous parties may be involved which will mean a requirement for agreeing various Party Wall Awards. A commercial building surveyor should be consulted when looking to complete a Party Wall Award as can advise on timescales, costs etc.

What is a Contract Administrator?
Contract Administration involves understanding a client’s requirements and formulating a brief summarising the intentions and objections for a project. Contract Administration will then sometimes involve the production of a feasibility study which will include information on the likely budget, programme, risks and constraints, and will also likely include commentary from specialist consultants. The main part of a Contract Administration instruction will comprise producing the detailed design information, tendering the works to contractors, reporting the tenders and identifying a preferred contractor, and then managing the construction works through to completion.

What is a Employers Agent?
Employers Agents are engaged when a Design and Build procurement route is used for a project. A Design and Build procurement route involves creating a set of concept design information, called the Employers Requirements. This process is co-ordinated by the Employers Agent. The Employers Requirements then becomes the basis on which a tendering contractor provides their pricing submission. The tendering contractor will take on the responsibility for the detailed/technical design and typically a number of the members of the design team will be novated to the contractor’s side. An Employers Agent will manage this tendering process, draft the contractors and assist with managing the project through to completion.
